When you contact us, register for a demo class or join a program, we may collect the following information:

• Parent or guardian name
• Student name and age
• Phone number and/or WhatsApp number
• Email address
• Location, city or country
• Chess experience, playing level and FIDE details (if any)
• Preferred classes, programs or schedule
• Demo class and assessment information
• Admission and payment-related information
• Enquiries received through WhatsApp, our website or social media
• Technical information needed to operate and improve our services

Information about children is normally provided by a parent or legal guardian. We use this information only for chess training, assessment, admission, class management, communication with parents and progress updates.

Parents and legal guardians can request access to their child's information, ask for corrections, or request its deletion at any time using the contact details below.

We use the information we collect to:

• Reply to enquiries and provide program information
• Schedule demo classes
• Assess students and recommend the right class or batch
• Manage admissions, schedules and student accounts
• Send service-related messages and follow-up communication
• Improve our services and teaching
• Maintain operational, accounting and legal records

We use the WhatsApp Business Platform and other Meta services to communicate with parents and students. These services may process the WhatsApp number, profile name, message content, message metadata and Click-to-WhatsApp referral or advertising information. This processing is used for customer service, lead management, admission follow-up and campaign measurement.

Enquiries, leads, demos, assessments, follow-ups, admissions, batch assignments, student accounts and academy operations may be stored in our internal CRM and student management systems. Access to these systems is restricted to authorised staff and trusted service providers who need it to run the academy.

We do not sell personal information. Limited information may be shared with trusted providers — such as hosting providers, Meta/WhatsApp, payment providers, communication services, online class and education technology platforms, and technical service providers — as required to operate our services.

Payments are processed by payment providers, who may process payment details directly. 24Chess Academy does not intentionally store full card details or sensitive payment credentials in its CRM.

We apply reasonable technical and organisational safeguards to protect personal information. However, no online system can guarantee absolute security, and we cannot promise that information will never be affected by unauthorised access.

We retain personal information only as long as reasonably necessary for providing our services, handling enquiries and admissions, maintaining student records, meeting legal and accounting requirements, and resolving disputes or service issues. When information is no longer required, it is deleted or anonymised.

Users and parents may request access to their personal information, request correction or deletion, ask to withdraw from certain communications, and ask questions about how their information is used.

To request deletion of your data, email support@24chess.net with the subject line "Data Deletion Request". After verifying your identity, we will delete or anonymise eligible data, unless retention is required for legal, financial, security or legitimate operational reasons.

Our website and messages may link to external websites such as class platforms, tournament pages and social media. Those websites have their own privacy practices, and we are not responsible for them.

We may update this Privacy Policy from time to time. The latest version will always appear on this page, along with the effective date at the top.
